Cancellation & Refund Policy
Effective Date: August 7, 2026
This Cancellation & Refund Policy applies to all online payments, fee remittances, and transactional bookings made through the official website and payment portal of Sree Anjaneya Institute of Dental Sciences (SAIDS), a unit of Malabar Medical College, Kozhikode.
1. General Policy – No Refund
All payments successfully processed through the official website of SAIDS are considered final and non-refundable. Except as explicitly provided under institutional norms or regulatory guidelines governing dental/medical admissions and withdrawals, refunds will not ordinarily be accepted for:
- Admission and application form fees
- Academic Tuition fees
- Examination and university registration fees
- Hostel accommodations and institutional transportation fees
- Continuing Dental Education (CDE) programme fees
- Hospital consultation, clinical diagnostics, or treatment booking charges
- Any other academic, administrative, or institutional service charges
Students, patients, parents, and guardians are strongly advised to verify all payment amounts, student credentials, and reference details carefully before completing any transaction.
2. Non-Refundable Bank & Gateway Charges
Please note that any transaction processing fees, merchant discount rates (MDR), service charges, or banking convenience fees originally levied by financial institutions or the payment gateway provider during checkout are collected directly by third-party financial entities and are strictly non-refundable.
For any eligible refund approved by the institution—including double payments or official academic withdrawals processed under regulatory mandates—the final amount credited back to the user will be processed after adjusting and deducting these applicable bank/gateway transaction charges from the total initial payment amount.
3. Refund for Duplicate or Failed Transactions
Refunds will be considered exclusively in cases where a technical error occurs (such as a system timeout, network lag, or page refresh) resulting in a duplicate payment, where the exact same fee component has been debited from the user's account more than once.
To request a rectification and refund for a duplicate charge, users must contact the Accounts Office within 7 working days of the transaction by sending an email to our official accounts desk at:

The following documentation must be provided:
- Legible proof of payment (both transaction receipts or bank account statement screenshots clearly showing the duplicate debits)
- Full Name of the student or patient
- Unique Application Number, Admission Number, or Patient Reference Number
- Valid mobile number and contact details
4. Refund Processing Timeline & Mode
- Net Refund Calculation: Once verified and approved by our financial review panel, the net refund (total initial payment minus the gateway/banking charges detailed in Section 2) will be initiated.
- Mode of Credit: All net refunds will be credited exclusively back to the original bank account, credit/debit card, or UPI ID used to make the initial payment. No cash refunds, third-party account credits, or manual checks will be issued under any circumstances.
- Banking Timelines: Once SAIDS formally executes the net refund, it typically takes 3 business days for the credit to reflect in the user's account, depending entirely on standard banking channels, card networks, and settlement clearings.
5. Cancellation Policy
The online submission of applications, student enrollment registrations, or clinical appointment bookings does not automatically grant a right to cancellation or refund. Any request for cancellation of admission or clinical withdrawal must be formally submitted in writing to the Principal/Dean’s office and shall remain strictly subject to the statutory rules, cut-off dates, and fee penalty slabs established by the institution, affiliated university, and medical/dental council regulations.
6. Policy Updates
SAIDS reserves the absolute right to modify, amend, or rewrite this Cancellation & Refund Policy at any time without prior notice. Any updates will become effective immediately upon being published on this page.
